Every document verified. Before it causes a problem.

RippleHire's Document Validation Agent reads each uploaded document, checks it against the candidate's profile, and flags what does not match. Recruiters review only the exceptions.

OCR extraction. AI validation. Instant status. All in one workflow

Manual document checks are slow, inconsistent, and easy to fool.

Recruiters comparing uploaded files against candidate profiles manually is not a verification process. Across large teams and multiple geographies, the inconsistency compounds. Fraud slips through. Compliance gaps accumulate. Audit trails are incomplete. RippleHire replaces that with a system that validates every document the moment it is uploaded.

Six steps from candidate upload to final approval.

Upload: Candidates submit through a guided portal, with format and type checked on arrival.
Extraction: OCR converts the document into structured fields without any manual entry.
AI Checks: Face detection and document-specific validation run against each file type.
Comparison: Extracted data is checked against the profile and your configured rules.
Status: The system assigns Match or Attention, with the specific mismatch named.
Review: Attention items reach a recruiter with evidence attached and a logged decision.

Recruiters review only the exceptions instead of every document.

The Document Validation Agent surfaces only what needs a person. Everything that matched cleanly moves on without anyone opening it, and everything that did not arrives with the discrepancy already identified.

FAQs

1. What does the Document Validation Agent do?

It automates the full document verification lifecycle. When a candidate uploads a document, the agent extracts the data using OCR, runs AI-powered checks against the candidate's profile and configured validation rules, assigns a Match, Attention, or Approved status, and routes flagged documents to the recruiter for structured review.

2. Which document types does it support?

Out of the box: PAN Card, Passport, Photograph, Payslip, and Educational Certificates. Additional document types and custom validation prompts are configurable at the company level to cover any document your hiring process requires.

3. What does each status mean?

Match means the document is verified and the extracted data matches the candidate profile. Attention means a discrepancy was detected and the document needs recruiter review. Approved means a recruiter has reviewed and signed off, with their name and timestamp recorded.

4. What happens when a recruiter overrides an Attention flag?

The recruiter can review the flagged document and approve it if the discrepancy is acceptable. The override is logged with the recruiter's name, the timestamp, and the document details — creating a clear audit record of the decision.

5. Can the agent detect document fraud?

Yes. The agent includes photo verification, passport checks, and cross-referencing of extracted data against the candidate's declared information. Tampered documents, mismatched identities, and inconsistent salary or qualification data are flagged at the point of upload.

6. Does the Document Validation Agent slow down the candidate experience?

No. Validation runs automatically in the background the moment a document is uploaded. Candidates do not wait for a recruiter to check their files. The status is available immediately.

7. How does this support compliance and audit requirements?

Every verification action is logged - upload time, validation result, status assignment, recruiter review, and approval decision. Records are exportable for internal audits, BGV handoffs, and regulatory compliance reviews without any manual reconstruction.

8. Is the Document Validation Agent a separate product?

No. It is built into RippleHire and configured within Admin Settings. It works alongside the rest of your hiring workflow and does not require a separate login, integration, or contract.
